In short
- DocuSite helps capture site visits and draft their documents. It is contracted by an organisation, which pays for its plan.
- Your content is yours (or your organisation's). We only process it to provide the service.
- AI prepares drafts: the professional who signs reviews them and is responsible for them. DocuSite does not replace their judgement or their responsibility.
- If the organisation cancels, it has 30 days to export its data. Spanish law applies.
1. Who we are and what these terms cover
DocuSite is a service of Projectum Oficina Tecnica Online S.L., tax ID (NIF) B67406009, registered address C/ Ciutat d'Elx, 19, 08027 Barcelona (Spain). Contact: [email protected].
These terms govern use of the DocuSite app for iOS and Android and of the website at docusiteapp.com. By creating an account or using the service you accept them. If you use it on behalf of an organisation, you confirm that you are authorised to accept them for it.
2. The service
DocuSite lets you capture photos, voice notes and written notes on site, including offline; organise projects, parties and documents; draft minutes and reports with the help of artificial intelligence; edit them, generate them in Word and PDF, send them and collect signatures and acknowledgements. The features available depend on the plan contracted.
3. Accounts and organisations
- Each person has an account with their email and signs in with a one-time code. You are responsible for keeping access to your email and devices secure, and for telling us if you suspect misuse.
- Projects and documents belong to an organisation. Whoever holds the Administration role decides who joins, with which role and what each person can see or do, including external guests.
- The information you provide must be accurate and up to date. You may belong to several organisations.
4. Plans, trial and payment
- Each organisation has a plan with its features and limits (for example, documents per month, people or storage). DocuSite warns you as you approach a limit and does not start an operation that would exceed it.
- If the plan includes a trial period, this is shown when you subscribe. When it ends, the plan is charged unless cancelled beforehand.
- Payments are made on the website through Stripe. Prices are shown with any applicable taxes. The subscription renews at the end of each period and can be cancelled at any time, taking effect at the end of the period already paid.
- If a payment cannot be collected, the organisation goes through a grace period, then becomes read-only and, if still unpaid, is suspended and finally closed, with notices at each step. Paying reverses this as long as it has not been closed.
5. Acceptable use
You agree not to use DocuSite to:
- upload unlawful content, or third parties' personal data without the necessary legal basis;
- try to access other organisations' data, bypass plan limits or security controls, or reverse-engineer the service beyond what the law allows;
- overload the service, automate access outside the official API or resell DocuSite to third parties;
- impersonate another person or sign on behalf of someone who has not authorised you.
6. Your content
The photos, notes, reports and other content uploaded by you or your organisation are yours. You grant us only the licence needed to host it, process it (including transcription, photo description and AI drafting), show it to whoever the organisation authorises and generate the documents, for as long as the service lasts.
How we handle personal data is explained in the privacy policy. For project data, DocuSite acts as the organisation's processor.
7. AI-generated drafts
Artificial intelligence prepares drafts from what has been captured. It can make mistakes or leave information out. The professional who signs the document must review, correct and validate it before sending or signing it.
DocuSite is a drafting aid: it does not replace the technical judgement or professional responsibility of whoever manages or signs, does not certify the works and does not guarantee compliance with the regulations that apply to each document.
8. Availability and changes to the service
We work to keep DocuSite continuously available, but there may be interruptions for maintenance, updates or causes beyond our control. Capture in the app works offline and syncs when the network returns.
We may improve, change or withdraw features. If a change significantly reduces what a paid plan includes, we will give advance notice.
9. Liability
We are responsible for providing the service with due diligence. To the extent permitted by law, we are not liable for indirect damage or loss of profit, for content uploaded by users or for decisions taken on the basis of the documents, and our total liability is limited to the amount paid by the organisation in the twelve months before the event giving rise to it.
Nothing above limits liability that cannot be limited by law, such as for wilful misconduct or gross negligence, or the rights that consumer law grants to consumers.
10. Cancellation, suspension and data export
- The organisation can cancel its plan at any time. At the end of the paid period, it stays read-only for 30 days to download and export everything (reports in Word and PDF, photos and data); it is then closed, kept for a further 90 days in case it returns and then deleted.
- We may suspend or close an account or organisation that seriously breaches these terms or the acceptable use rules, with prior notice unless urgency or the law prevents it.
- Each person can delete their account at app.docusiteapp.com/account/delete or from the app.
- Keeping signed reports for the periods their regulations require is the organisation's responsibility: that is why we make it easy to export them before closure.
11. Changes to these terms
We may update these terms. If the change is significant, we will tell you in the app or by email with reasonable notice. Continuing to use DocuSite afterwards means you accept them; if you disagree, you can stop using it and delete your account.
12. Governing law and jurisdiction
These terms are governed by Spanish law. For any dispute, the parties submit to the courts of Barcelona, unless consumer law provides for a different venue.
